Privacy requests: ad@monarchy.io · jennifer@monarchy.io
This Privacy Policy explains how Monarchy Media LLC (“Monarchy”, “we”, “us”) collects, uses, shares, and protects information in connection with Monarchy HQ / Monarchy OS and related private previews. It applies to invited users — team members, partners, advisors, clients, investors, and other authorised persons — not to the general public browsing an open website.
By accepting on the sign-in screen and using the platform, you acknowledge this Policy together with our Terms and Conditions and Confidentiality terms.
1. Who is responsible
Monarchy Media LLC is the controller of personal information processed for operating Monarchy HQ, except where we process client or partner data solely as a service provider under their instructions. For privacy requests, contact ad@monarchy.io or jennifer@monarchy.io, or write to the address above.
2. Information we process
Depending on your role and grants, we may process:
- Account and identity — name, username, email, aliases, role title, company affiliation, and invitation/welcome records.
- Access grants and roles — role presets (Owner, Executive, Staff, Client, External/Custom), company and client grants, room and area grants (Board, Clients, Investment opportunities sub-areas, Mark, Ask, House, Profile, Admin), Mark project shares (viewer / approver / editor), Investment opportunities role tags (Investor, Banker, Admin, Client), and extra permissions (for example publish to House, edit client rooms, publish manuals).
- Investment opportunities / CRM data — pipeline cards and activity, team notes, data-room files and decks, investor questions, NDA-related records, project and client-desk metadata, and who can see which data rooms.
- Mark data — projects, pages, images, ads and other assets under review; pins, comments, dictated or written corrections; approval state; attachments; and share recipients.
- Ask queries — questions you submit to Ask, retrieved citations (including staff manuals when you are staff and granted), and related interaction logs needed to answer and improve the assistant within your grants.
- Manuals for staff — titles, categories, versions, files or links, version notes, and search text used for staff manuals and Ask citations. Staff manuals are not shown to client or external users unless expressly granted.
- Client room data — overview content, communication logs, notes, contacts (scheda), lead/SEO reports, and materials marked visible to the client.
- Board materials — board updates and packets for companies you are granted.
- House and admin operations — published House posts, top news placements, email-routing / mail-log metadata used by Admin, and access-request records.
- Usage and diagnostics — pages and features used, approximate device/browser info, error and security logs, and server gate / session cookies needed to operate the private preview.
- Browser storage — acceptance flag, username, persona, grants cache, theme preferences, and similar draft keys in cookies or localStorage (see §6).
- Communications preferences — records that you accepted Terms/Privacy, and marketing / communications preferences or opt-outs when you send them to us.
We do not ask you to submit patient health records into the preview as a clinical system of record. Do not upload information you are not authorised to share. Platform content is not medical advice and Monarchy makes no medical claims (see Terms §7).
3. How we use information
- Authenticate you, enforce grants, and fail closed on ungranted areas.
- Operate Board, Clients, Investment opportunities, Mark, Ask, House, manuals, Profile, and Admin.
- Provide organisational communications (invites, access changes, security and product notices).
- Send marketing and business communications about Monarchy services, events, and related offerings, as described in §4, unless you opt out.
- Improve reliability, security, and usability of the preview.
- Comply with law and protect Monarchy, users, clients, and partners.
4. Marketing and communications
When you accept the sign-in checkbox, you are notified that Monarchy may send operational messages and may also send marketing or business communications to contact details tied to your invitation or account. You can opt out of marketing at any time by emailing jennifer@monarchy.io or ad@monarchy.io with “Unsubscribe marketing” (or similar). Opting out of marketing does not stop security, access, or other necessary operational messages. We do not sell your personal information.
5. Sharing
We share information only as needed to run the platform:
- Within Monarchy — with people who have grants to the same rooms or who administer access (Owners / Executives / scoped admins).
- Clients and partners — client-visible materials in client rooms; board packets with granted board members; Investment opportunities materials with granted investors/bankers under applicable NDAs.
- Service providers — hosting, storage, email, and similar processors who act on our instructions (for example Cloudflare Pages / Workers and related infrastructure used for this preview).
- Legal — when required by law, legal process, or to protect rights, safety, and security.
Board and client packets remain subject to their own confidentiality rules and any separate agreements.
6. Cookies, localStorage, and similar technologies
For this private preview we use:
- Server gate / session cookies — HttpOnly (or similar) cookies that prove you passed the preview gate or hold a session persona where configured.
- localStorage (and similar) — keys such as acceptance (
monarchy-preview-accepted), username, persona, grants cache, theme, feature drafts (for example notes collapse, DocuSign stubs), and related UX state.
These technologies are required for sign-in acceptance, persona routing, and preview features. You can clear site data in your browser; you may need to re-accept Terms and sign in again. We do not use third-party advertising cookies on this private OS.
7. Roles and access to data
What you can see depends on your grants. Owners and Executives may administer people and grants. Scoped Investment opportunities admins may manage only people and projects in their scope. Staff see assigned companies, clients, and rooms. Clients see their own client room material marked visible to them. External reviewers may see only shared Mark projects or board companies they were granted. Ask answers are limited to materials inside your grants; staff manuals are for staff (and Ask citations for staff) unless expressly extended.
8. Client data confidentiality
Client and partner data in client rooms, board packets, Investment opportunities, Mark, and related tools is confidential. Access is grant-based. Do not export, screenshot for distribution, or share client data outside authorised channels. See also Confidentiality terms. Monarchy staff with client_edit or Admin rights may update client-room content as part of delivering services.
9. Retention
Account, grant, and operational records are kept while your invitation is active and for a reasonable period afterward for security, audit, and legal purposes. Browser-local draft data lasts until you clear it or we change keys. Marketing opt-out records are kept as needed to honour your choice. Manual versions and Mark/Ask history may be retained for business continuity according to internal policy.
10. Security
Access is invitation-only and excluded from search engines where configured. A server-side preview gate (and, where enabled, Cloudflare Access) protects the deployment. You must protect your credentials and devices. No method of transmission or storage is perfectly secure. Report suspected compromise immediately to ad@monarchy.io or jennifer@monarchy.io.
11. Your choices and privacy requests
You may:
- Request access changes or account deletion through your Monarchy contact or the emails above.
- Request a summary of personal information we hold about your account, correction of inaccurate account data, or deletion where applicable law allows.
- Opt out of marketing as described in §4.
- Clear local preview preferences in your browser at any time.
We will respond to privacy requests within a reasonable time. We may need to verify your identity and may retain certain records when required by law or legitimate security needs. If you are an employee or contractor, some requests may also be handled under your employment or contractor relationship.
12. Children
The platform is for authorised business users. It is not directed to children under 16 (or under 13 where that is the applicable standard). We do not knowingly collect personal information from children.
13. International users
Monarchy is based in Florida, United States. If you access the platform from another country, you understand that information may be processed in the United States and other locations where we or our providers operate.
14. Changes
We may update this Policy. Material changes will be posted on this page and, where appropriate, noted on the sign-in screen. Continued use after notice constitutes acknowledgment of the updated Policy.
